Securing Virtual Meetings

Did you know? Most virtual meeting applications offer options and features that can be configured to mitigate security risks. These best practices listed will help keep your virtual meetings secure.

  • Only use company-approved applications
    • Do not use an app not approved by your company. Ask your IT department to install the approved application.
  • Password protect or randomize meeting ID’s to secure meetings
    • This setting generates a unique password and Meeting ID for attendees. Each attendee receives an email including these details. This keeps the the meeting secure from unauthorized users.
  • Enable and use the “Waiting Room” feature
    • This will keep the meeting secure by not allowing participants to join until the host has joined. The host can then review and approve participants for admission to the meeting.
  • Disable the “Join before host” option
    • Hosts have control over the meeting settings and the participants admission.
  • Disable “Allow Removed users to rejoin” option
    • Keeps the meeting secure by ensuring participants stay removed and cannot rejoin.
  • Disable file transfer
    • File transfers may contain malware. Keep your network and devices safe by disabling this feature
  • Consider Using the “Lock Meeting” function if available
    • When all members are reviewed and allowed to attend. Lock the meeting to prevent uninvited guests from joining.
  • Share Safely
    • If you have the need to share your screen, make sure confidential information is not open, and close all applications you don’t need for the meeting.
